Minutes of Meeting September 17, 2003

 

Meeting held in the Provincetown Police Station

 

Members Present:             James Cole, Chair; Marcia Fair, Vice-Chair; CJ Noyes, Secretary; Anita Berman; Arthur Pike

Others Present:            Debra DeJonker-Berry, Library Director; Mary Ann Bragg, public

Call to Order:             James Cole called the meeting to order at 5:18 pm.

 

1.      Public Statements: There were none.

2.      Minutes: Marcia Fair moved and Arthur Pike seconded the motion to approve the June 25, 2003 minutes. The vote was 5-0 in favor of approving them as amended. Marcia Fair moved and Anita Berman seconded the motion to approve the August 13, 2003 minutes. The vote was 5-0 in favor of approving them as amended.

3.      Building Committee: Marcia Fair, Debbie DeJonker-Berry, and Jim Cole met with donors, the crew chief and Bill Ingraham at the building and were stunned by the transformation resulting from the removal of 40 tons of material from the site. Notices have been sent to abutters. CJ Noyes is the project’s official photographer. Debbie noted that the DPW has put new shelving into storage, and Arthur agreed to draft thank you letters to the DPW and the Cohasset Historical Society. The Supporters will pay for transporting the shelving.  A new local resident has donated six New York Public Library reading room chairs. An effort to protect the Rose Dorethea is underway.

4.      Library Director’s Report: Debbie said that the staff is busy reorganizing offices, consolidating functions, and weeding the collection to update titles. New public computers are being added. Debbie reported that PPL has the second highest number of ILL requests on the Cape. The Birth to Three program is moving from St. Mary’s to the Community Center. Arthur Pike exhibited the children’s Thank You card to the congregation. Debbie reported the receipt of the $10,000 LSTA/MGAW grant to fund a science-based child/parent program. She presented a draft of FY2005 action plan. She asked that the Board now address the Internet Policy. Marcia suggested it be added to the next meeting’s agenda, and Arthur affirmed that Town Counsel had approved it.

5.      Capital Campaign: Marcia Fair presented the September 1, 2003 Campaign Gift Report showing nearly $500,000 in gifts and pledges. She submitted the Monthly Cash report showing a $357,147 balance. The Jewelry Sale brought in $5,400, and there will be a 10/12/03 redux. One hundred twenty-five people, including 69 newcomers, attended the Packard Gallery Reception bringing in $19,000, a number that includes $6,150 for the Anne Packard painting.  Debbie publicly thanked the Staff, Board, and volunteers for the ring presented to celebrate her tenth year of service to the community. OperaFest benefit was lightly attended . Marcia said holiday greeting cards with a new image may be available for sale. CJ reported that there will be a Crone’s Luncheon with celebrity hostesses to benefit the Building Fund at Bayside Betsy’s on October 14, 2003. Marcia said that Laura Brody is hosting a high-end dinner party fundraiser in Boston, and that Nancy Sirvent is preparing a Banner insert with the construction schedule. The Capital Campaign Committee is planning a donor recognition program that may come to the Board at the next meeting for approval. Marcia is working on two major donor prospects. The Campaign Committee will place an ad in the Boston Globe before Thanksgiving to reach the many donors in the Boston area. The next meeting will be in October.

Other Business: Arthur presented new and beautiful charts using data collected by MBLC comparing PPL to regional and statewide averages, and Funding and Cash Flow charts for the building project.

 

 Next Meeting: The next meeting is Thursday, October 23, 2003 at 5:15pm in the Police Station Conference Room.

            Marcia Fair moved and Arthur Pike seconded the motion to adjourn at 6:16 pm.

The vote was 5-0 in favor.
